2. About this privacy policy
This privacy policy explains what personal data we collect through the tehstop.si website and in the course of our business relationship with you, for what purposes we use it, on what legal basis, to whom it may be disclosed, and what rights you have regarding your data. We process personal data in accordance with the General Data Protection Regulation (GDPR) and the Slovenian Personal Data Protection Act (ZVOP-2).
3. Data collected through the contact form
When you send us an inquiry through the contact form, we collect your name, email address, phone number, company name (if provided) and the content of your message. We use this data solely to respond to your inquiry and, where relevant, to prepare an offer for you. The legal basis for this processing is taking steps at your request prior to entering into a contract, or our legitimate interest in responding to inquiries we receive.
4. Data collected for inquiries and equipment rental
When you submit an inquiry for renting equipment or services (e.g. via the cart or quote request form), we collect your name or company name, email address, phone number, address, tax number, and details about the requested equipment, dates and event location. We need this data to prepare an offer, issue an invoice or pro forma invoice, and carry out the rental. The legal basis is performance of a contract or taking steps at your request prior to entering into a contract.
5. Data collected when applying to Tehstop za kulturo
If you apply to our annual "Tehstop za kulturo" programme, we collect your organization's name, tax number, contact person's name, email address, phone number, preferred event date and project description. We use this data to select the recipient of the equipment and technical-support donation and to communicate with the selected organization. The legal basis is the consent you give when submitting the application.
6. Data collected on pick-up and return of equipment
When equipment is picked up in person, we require the renter to present a valid identity document (ID card or passport) to verify their identity, and in certain cases a rental agreement is also signed at pick-up. We process this data to enter into and perform the rental relationship and to protect our equipment, based on performance of a contract and our legitimate interest.
7. User account and tax number lookup
If you create a user profile on our website, we store the data you enter (name, contact details, tax number, etc.) to make it easier to prepare future inquiries and offers. If you use the tax number lookup feature, we forward that query to an external, publicly available business register in order to automatically fill in your company details; we only send the tax number you entered, without any other personal data.
8. Cookies and web analytics
Our website uses strictly necessary cookies required for the site to function, and, only with your prior consent, analytics cookies (Google Analytics) that let us track visits and usage of the site. You can give, change or withdraw your consent at any time via the cookie settings available on the website. A detailed list of cookies is available in the consent management tool.
9. Third-party processors and recipients of data
In running our business we work with the following external providers, who may process personal data on our behalf and according to our instructions: SMTP2GO (sending emails such as offers, invoices and replies to inquiries), Google (Google Analytics for web analytics, Google reCAPTCHA to protect our forms from abuse, and Google Maps to display our location in the site footer). We may also share personal data with our accounting service provider to meet tax and accounting obligations, and with competent authorities where required by law.
10. Transfer of data to third countries
Some of the providers listed above (e.g. Google) may process data outside the European Economic Area. In such cases the transfer is based on appropriate safeguards, such as the European Commission's standard contractual clauses, ensuring an adequate level of protection for personal data.
11. Data retention period
We keep data from contact inquiries for as long as necessary to handle your inquiry, and at most 2 years from the last contact, unless a longer retention period is required to establish or defend legal claims. We keep invoices, offers and rental agreements in accordance with accounting and tax regulations, generally for 10 years. We keep data in your user profile for as long as you keep your account, or until you request deletion.
12. Your rights
Regarding the processing of your personal data, you have the right to access, rectify, erase or restrict the processing of your data, the right to object to processing, and the right to data portability, where the relevant legal basis applies. If you believe we are processing your data in breach of the applicable rules, you can contact us, and you also have the right to lodge a complaint with the Information Commissioner of the Republic of Slovenia (www.ip-rs.si).

We use appropriate technical and organizational measures to protect your personal data against unauthorized access, loss or misuse. We may update this privacy policy from time to time, for example due to changes in legislation or in our services; the version in force at any given time is published on this page.
